What does a mortgage virtual assistant do?
A mortgage virtual assistant handles loan processing support, document collection, borrower follow-up, rate-lock coordination, and pipeline management so loan officers can originate. Taika's mortgage VAs work bilingually across 300+ languages and are backed by a certified-translation company with 102,000+ projects since 2009 and a 5.0 Google rating.
A stalled file is a lost commission

What a mortgage virtual assistant runs
The role is the pipeline’s administrative engine:
- Document collection and chasing — the income, asset, identity and property documents a file needs, requested, tracked and followed up until they arrive.
- Condition clearing — owning the outstanding-conditions list and working it daily rather than in bursts.
- Third-party ordering — appraisals, title, verifications, payoffs, insurance binders, and the follow-up when any of them goes quiet.
- LOS and CRM hygiene — data entered, stages accurate, notes current, so your pipeline report means something.
- Scheduling — borrower calls, signings, closings, and the reminders that stop a signing from slipping.
- Status updates on approved facts — to borrowers, agents and referral partners, so your originators stop fielding “where are we?” calls.
- Post-close follow-up — thank-you sequences, review requests, and the annual touch that produces repeat business.
The SAFE Act line, stated plainly
This is the first thing a compliance officer asks, so here is the direct answer.
Under the SAFE Act, a mortgage loan originator is someone who takes a residential mortgage loan application or offers or negotiates terms of a residential mortgage loan for compensation or gain. Those two activities require NMLS licensing. An unlicensed assistant does neither.
What that means operationally:
- Administrative — collecting a document the borrower has already been asked for, chasing a missing paystub, confirming receipt, entering information the borrower has already provided, scheduling a call, telling a borrower the file is with underwriting.
- Originating — asking a borrower for the information that constitutes an application, quoting a rate, explaining which product suits them, or negotiating any term of the loan.
The workable structure is therefore not subtle: the assistant owns documents, logistics and status; your licensed originator owns the application and every conversation about terms. Your compliance officer and your state regulator govern the specifics, and they should confirm the split before day one.
RESPA and TCPA, briefly and honestly
RESPA Section 8 is unchanged by any of this: no thing of value for the referral of settlement service business. A remote assistant is administrative support you buy and pay for as administrative support. It is not a referral arrangement and should never be structured as one.
TCPA applies the moment outbound calling moves from servicing an active file to contacting leads. Consent, calling windows, do-not-call scrubbing and call identification all matter, and the liability is yours, not your vendor’s. Define the call list and the rules before the first dial. Inside those rules the role is safe; outside them it is one of the more expensive mistakes in the industry.
Condition clearing is where the role pays for itself
Conditions are a checklist problem, not a judgement problem. What is outstanding, who owes it, when it was last requested, what arrived. The reason clean files sit is almost never analytical — it is that nobody made the fourth call about the same missing document.
An assistant who owns that list and works it every day compresses the part of your cycle time that has nothing to do with credit. Whether a condition is satisfied stays with your underwriter and your licensed staff; whether it has been requested, chased and received becomes somebody’s actual job.
Why bilingual matters here
First-generation and immigrant borrowers are a large and growing share of the purchase market, and the document chase is exactly where a language barrier costs the most. A borrower who does not fully understand which document is needed sends the wrong one — twice — and the file loses a week each time.
Those same borrowers frequently need certified translations of foreign income statements, bank records, identity documents and property papers. Because this role sits inside a certified translation company, the assistant chasing the document and the team certifying its translation are one vendor. See certified bank statement translation for how the financial documents are handled, and business and financial translation for the commercial side.
What to hand over first
The conditions list and the document chase. High volume, rule-based, entirely administrative, and the largest recoverable block of cycle time in most operations. Third-party ordering comes with it. Scheduling and CRM hygiene next.
Write the SAFE Act escalation rule before day one — the short list of borrower questions that always go to a licensed originator. That single page is what makes the role both compliant and genuinely useful.

Frequently Asked Questions
What does a mortgage virtual assistant do?
Loan processing support, document collection, borrower follow-up, rate-lock coordination, and LOS/pipeline management. Taika's mortgage VAs do this bilingually across 300+ languages and can translate foreign income documents through the same company.
Can the assistant follow up with borrowers in Spanish?
Yes. Bilingual capability is the default across 300+ languages, keeping multilingual borrowers engaged through closing.
How fast can I start?
You'll meet matched candidates typically within a week or two of your free consultation.
What can an unlicensed mortgage virtual assistant legally do?
A great deal of the pipeline, and none of the licensed activity. An assistant can collect and chase documents, track and clear conditions, order appraisals and title, schedule borrower calls and closings, keep the LOS and CRM clean, prepare files for underwriting review, and give borrowers status updates on facts the loan officer has approved. What an unlicensed person may not do under the SAFE Act is take a residential mortgage loan application or offer or negotiate loan terms - those are the two activities that define a loan originator and require NMLS licensing. Your compliance officer and your state regulator govern where exactly that line sits for your operation.
Where is the SAFE Act line in practical terms?
The test is not whether the assistant typed something into a form; it is whether they took the application or discussed terms. Collecting documents a borrower has been asked for, chasing a missing paystub, confirming receipt, and entering data the borrower has already provided are administrative. Asking a borrower for the information that constitutes an application, quoting a rate, explaining which product suits them, or negotiating anything about the loan is originating. In practice the safe structure is: the assistant handles documents, logistics and status; the licensed originator handles the application and every conversation about terms.
How do we stay clean on RESPA and referral arrangements?
Nothing about a virtual assistant changes RESPA Section 8: no thing of value for the referral of settlement service business. A remote assistant is a service you buy for administrative work, priced for that work - it is not a referral arrangement and must not be structured as one. Keep the engagement to administrative support, and keep any co-marketing or vendor relationship analysis with your compliance officer, where it belongs.
Can the assistant make outbound calls to borrowers and leads?
To your existing borrowers on active files, that is routine servicing contact. Outbound calling to leads and prospects is where the TCPA and your own state rules apply - consent, calling windows, do-not-call scrubbing, and how the call is identified all matter, and the exposure is yours. Set the rules and the call list before the assistant makes the first dial; the role is perfectly safe inside them and expensive outside them.
How much of the condition-clearing work can actually be handed over?
Most of it, and this is usually where the role pays for itself. Conditions are a checklist problem, not a judgement problem: what is outstanding, who owes it, when it was last requested, and what came in. An assistant who owns that list and works it daily removes the most common reason a clean file sits - nobody made the fourth call about the same missing document. Whether a condition is satisfied stays with your underwriter and your licensed staff.
Why does bilingual capability matter in mortgage specifically?
Because the document chase is relentless and it is where a language barrier does the most damage. A borrower who does not fully understand which document is needed sends the wrong one, twice. First-generation and immigrant borrowers are a large and growing share of the purchase market, and they routinely also need certified translations of foreign income, asset and identity documents - which the same company provides, so the assistant chasing the document and the team certifying its translation are one vendor.
