What are event services at Taika Translations?

Taika coordinates the accessibility and language layer of events, and the lodging and travel around them: ADA-compliant venues and access services, ASL interpreters and real-time captioning, simultaneous interpretation in 300+ languages, materials in accessible and translated formats, and hotel room blocks and attendee travel. Delivered in all 50 states and DC, as a full event service or as individual assistance.

Six vendors, five handoffs, and one event that has to work on the day

The venue is one contract. The AV is another. The interpreters come from an agency, the captioner from somewhere else, the Braille programme from a third supplier, and the hotel block from a travel desk that has never seen the agenda. Nobody owns the space between them — so the accessible entrance ends up on the far side of the building from the accessible parking, the ASL request lands nineteen days out when every qualified interpreter is booked, and a third of your audience arrives during the keynote because flights were bought on price. Every one of those is a handoff failure, not a hard problem.

The scarce part of an event is the part we already do

Rooms and catering are procurable anywhere. Qualified ASL interpreters, CART writers who can hold a technical panel, Braille production on a real deadline, and simultaneous interpretation across four language channels are not — and that is Taika's core business, not an add-on. Since 2009: 102,000+ projects, 300+ languages, 2,000+ vetted linguists, 24/7 support, a 5.0★ Google rating. We hold GSA Multiple Award Schedule 47QRAA18D00GT and NASPO ValuePoint 40-00000-24-00076AJ, and GSA's own description of the category we contract under names the logistical coordination and site supervision of those services — so for most public buyers this is an order, not a procurement.

How to start

  1. Send the event, not a finished spec

Dates, city, expected attendance, and whether the venue is locked. You do not need to know yet whether you need CART or captioning, two interpreters or six.

  2. Get a written scope back

Every access and language service named, the venue conditions worth fixing before you sign, the materials that need translating or remediating, and the lodging and travel picture — priced against a vehicle you already hold where one applies.

  3. We run our part, or all of it

A named coordinator owns the work from planning through teardown. Full event service, or the two interpreters and a captioner dropped into the plan you are already running.

What you get

  • ADA-compliant events

Venue access audits before you sign, ASL, CART, assistive listening, Braille and large print, and a named accessibility coordinator. Full service or single service.

  • Public-sector events

Hearings, forums and national conferences for federal, state and local buyers — orderable on GSA and NASPO for most of the scope.

  • Multilingual events

Simultaneous interpretation with booths and receivers, RSI for hybrid sessions, and translated programmes, signage and forms in 300+ languages.

  • International events

Cross-border conferences and inbound delegations — escort interpretation, protocol briefing, translated readouts, arrival logistics.

  • Lodging & travel

Room blocks with the attrition exposure modelled before you sign, per-diem-compliant sourcing for government, accessible rooms confirmed in writing, travel timed to the agenda.

  • All 50 states and DC

Interpreters, captioners and equipment sourced to your event's location — not shipped from one office.

Most of an event is procurable anywhere. Rooms, chairs, coffee, a projector — any planner can source those.

The parts that actually decide whether everyone in the room can take part are the scarce ones: a qualified ASL interpreter who can hold a technical session, a CART writer who can keep up with a panel full of acronyms, four simultaneous interpretation channels that work on the day, a conference programme in Braille on a real deadline, an accessible route that runs from the accessible parking to the accessible seating rather than around the back of the building.

That is Taika’s core business, not an add-on to it. We coordinate events across all 50 states and the District of Columbia — as a full event service, or as the one service your plan is missing.

Where to start

Accessible event coordination — ADA-compliant conferences and meetings. Venue audits before you sign, ASL and CART, assistive listening, Braille and large print, 508-conformant materials, and a named accessibility coordinator. Start here if accessibility is what brought you.

Government event coordination — public hearings, forums and national conferences for federal, state and local buyers, orderable on GSA and NASPO for most of the scope.

Multilingual event coordination — simultaneous interpretation with booths and receivers, RSI for hybrid sessions, and translated programmes, signage and feedback forms.

International event coordination — cross-border conferences and inbound delegations: escort interpretation, protocol briefing, translated readouts, arrival logistics.

Lodging and travel logistics — government — room blocks sourced against per diem, attrition modelled before signature, accessible rooms confirmed in writing.

Lodging and travel logistics — commercial — the same discipline for corporate and association events.

Full service, or one service

Both are normal orders. Agencies and companies with a capable events team usually want the access and language layer only. Those without one hand us the whole thing. The scope document says plainly which you bought, so nobody discovers a gap at the podium.

What we will not tell you

We deliver the access services your obligations require, to the standards those obligations name, and we document what we delivered. We are a delivery partner, not your legal counsel — there is no such thing as an “ADA certified” event, and we will not promise you how a regulator or a court would view yours. What we will do is make sure the route is real, the interpreters are qualified and booked, the receiver count matches the room, and the programme is readable by the person who asked for it in another format.

Frequently Asked Questions

Can we hire you for one service instead of the whole event?

Yes, and most clients do. Taika delivers events either as a full service or as individual assistance dropped into a plan you are already running. Two ASL interpreters and a CART writer for a three-day session is a completely normal order, and the scope says plainly which you are buying.

Do you cover our state?

Yes — all 50 states and the District of Columbia, plus virtual and hybrid events. Interpreters, captioners and equipment are sourced to the event's location rather than shipped from one office.

Can a public agency order this without a new solicitation?

Usually, for the language and accessibility scope and its coordination. GSA's published description of category 541930 — the category our Multiple Award Schedule contract is awarded under — covers interpretation, sign language services, captioning, Braille transcription, TDD/TTY, Section 508 language services, and the logistical coordination and site supervision of those services. Standalone lodging negotiation is not on our Schedule, and we say so on the lodging page rather than letting you find out at award.

Which page should I start on?

If accessibility is the driver, start with accessible event coordination. If you are a public buyer, government event coordination. If your audience speaks several languages, multilingual event coordination. If attendees are travelling in from other countries, international event coordination. If you only need rooms and travel, go straight to the government or commercial lodging page.

How far ahead do you need to know?

The earlier the better, because the cheapest accessibility decisions are the ones made before a venue is signed and the scarce resource is qualified people rather than equipment. That said, late requests are part of this work. Send the details and we will tell you honestly what is still achievable on your dates.

What does it cost?

It depends on the services, the languages, the headcount and the number of days — enough that a figure quoted without them would be misleading. Send the event details and you get a written scope with a price against it.
