What is government event coordination?
Government event coordination is the planning and delivery of public-sector meetings, hearings and conferences so they meet the agency's legal obligations as well as its agenda — accessible venues and routes, ASL interpreters and real-time captioning, spoken-language interpretation, materials in accessible and translated formats, and attendee lodging and travel. A government event carries duties a corporate one does not. Title II of the ADA requires effective communication with attendees who have hearing, vision or speech disabilities — and it requires you to give primary consideration to the aid or service the person actually asks for, not the one you find convenient. Title VI of the Civil Rights Act reaches the people in your jurisdiction with limited English. You cannot pass the cost of an accommodation on to the attendee who needs it. Most government events are planned twice. Once on paper — venue, agenda, speakers, catering — and then again in a scramble, when somebody notices the public hearing has no interpreter, the conference programme is an untagged PDF, and a registrant has asked for ASL.

Yes, and a lot of agencies do. Taika delivers ADA-compliant events either as a full event service or as individual assistance dropped into a plan you are already running. If you have a planner and a venue and you need two ASL interpreters and a CART writer for a three-day session, that is a perfectly normal order.
How far ahead do you need to know about the event?
The earlier the better, because the cheapest accessibility decisions are the ones made before a venue is signed. Who pays for an attendee's accommodation?
The entity holding the event. Under the ADA, a covered entity cannot pass the cost of an auxiliary aid or service on to the person with a disability who needs it — no accessibility surcharge, no separate accommodation fee at registration. We build access services into the event scope so the cost is a line item you have budgeted, not a surprise you are tempted to pass along.
